Refund Policy

Hodges Insurance Agency values transparency and customer satisfaction. This Refund Policy explains our practices regarding payments, fees, cancellations, and refunds related to insurance products and services obtained through our agency. Please read this policy carefully and contact us with any questions.

1. Insurance Products

Insurance products offered through our agency are generally subject to the terms, conditions, and cancellation provisions established by the issuing insurance carrier. As an independent insurance agent and broker, Hodges Insurance Agency facilitates the placement of insurance coverage but is not the insurance carrier and does not directly issue or fund insurance policies.

Refund eligibility may vary significantly depending on:

  • The type of insurance policy purchased
  • The specific rules and procedures of the issuing insurance carrier
  • Applicable North Carolina state insurance regulations
  • The timing of the cancellation request relative to the policy effective date
  • Whether a claim has been filed under the policy

2. Cancellation Requests

Clients wishing to cancel an insurance policy must submit a cancellation request to our office. We will process your request in accordance with the issuing carrier's procedures and applicable legal requirements. Please be aware that cancellation of a policy may have financial and coverage implications that you should discuss with your agent before proceeding.

Cancellation requests may require:

  • Written notice submitted to our office via email or mail
  • Identity verification to confirm the policyholder's authorization
  • Completion of signed authorization forms as required by the carrier
  • Confirmation of a replacement policy if coverage is legally required (e.g., auto insurance)
  • A specified notice period as outlined in your policy documents

3. Refund Eligibility

Refunds of insurance premiums may be available in situations including, but not limited to:

  • Duplicate or overpayments made in error
  • Unearned premium balances resulting from mid-term policy cancellation
  • Eligible policy cancellations processed in accordance with carrier guidelines
  • Policy cancellations initiated by the insurance carrier
  • Adjustments to coverage that result in a reduction of premium

The amount of any refund, if applicable, will be calculated based on the pro-rata or short-rate method as specified in your policy, in accordance with carrier guidelines and applicable state law. The return of unearned premium does not guarantee a full refund of amounts paid.

4. Non-Refundable Fees

Certain fees associated with the placement, administration, or service of insurance policies may be non-refundable, unless otherwise required by applicable law. These may include:

  • Policy issuance and administrative fees
  • Processing and handling fees
  • Brokerage fees and service charges
  • Fees charged by third-party service providers
  • State-mandated taxes and assessments

Our agents will clearly communicate any applicable fees prior to the placement of coverage. If you have questions about specific fees, please contact our office before completing a transaction.

5. Processing Time

Approved refunds may require several business days to process from the date of approval. Processing time may vary depending on:

  • The payment method originally used to pay the premium
  • The policies and processing timelines of your banking institution
  • The insurance carrier's internal processing procedures
  • The volume of pending transactions at the time of processing

We will make reasonable efforts to communicate the expected timeline for any approved refund. Hodges Insurance Agency is not responsible for delays caused by banking institutions or insurance carrier processing systems.

6. No Guarantee

Submission of a refund or cancellation request does not guarantee approval of a refund. All refund determinations are subject to review by the issuing insurance carrier and are governed by the terms of your specific insurance policy, applicable carrier guidelines, and North Carolina insurance regulations. Hodges Insurance Agency will advocate on your behalf but cannot guarantee the outcome of any refund request submitted to a carrier.

7. Carrier-Specific Rules

Each insurance carrier with whom we place business maintains independent cancellation and refund policies that may differ from the general guidelines described in this policy. In all cases where a conflict exists between this agency policy and the issuing carrier's policy, the carrier's policy will govern. We encourage clients to review their policy documents carefully and contact our office with any questions about carrier-specific cancellation and refund procedures.

8. Dispute Resolution

If you believe a refund has been incorrectly denied or calculated, please contact our office in writing with a detailed explanation of your concern. We will review your case and respond within five (5) business days. If the matter cannot be resolved directly with our agency, you may have the right to file a complaint with the North Carolina Department of Insurance at ncdoi.gov or by calling 1-855-408-1212.

9. Policy Updates

We reserve the right to update or modify this Refund Policy at any time. Changes will be effective upon posting to our website. We encourage you to review this policy periodically to stay informed of our current practices. Your continued use of our services following any modifications constitutes acceptance of the revised policy.
